Job Description

The World Organization of Family Doctors (WONCA) is a global not-for-profit professional organisation representing family doctors from 110 countries and territories (www.globalfamilydoctor.com). Our mission is to improve health and quality of life by strengthening family medicine and primary healthcare worldwide.

The WONCA Secretariat in Brussels is on the lookout for a dedicated Finance and Operations Officer. The role involves efficiently coordinating financial operations and assisting with operational tasks. Key duties include managing accounts payable and receivable, coordinating with external auditors, and overseeing financial reporting and budgeting. The officer will also cultivate relationships with suppliers, customers, and handle contract processes. Integral to this position is gaining a comprehensive understanding of WONCA’s diverse activities and projects, and collaborating with the Secretariat team, WONCA’s constituencies, and external partners. The role, under the CEO's guidance, demands a focus on diligence, transparency, and relationship-building, crucial for enhancing WONCA’s global impact.

What you will be doing

Responsibilities of the Finance and Operations Officer include, but are not limited to:

Financial Management:

  1. Managing accounts payable and receivable, including drafting and reviewing invoices, and coordinating with external accountants.
  2. Preparing weekly payments to suppliers and maintain accurate financial records within accounting software.
  3. Monitoring and tracking budgets, in collaboration with the Chief Administrative Officer and Fundraising Officer, ensuring financial reports are regularly updated and maintaining compliance with budgetary constraints.
  4. Assisting in financial budgeting and forecasting.
  5. Coordinating annual audits with external auditors.

Innovation and Efficiency:

  1. Researching and implementing innovative procedures and technical solutions to enhance operational efficiency.
  2. Coordinating the implementation of new accounting software with the external accountant and CEO.

Operational Responsibilities:

  1. Managing contract processes adapting and filling in WONCA's templates for final review.
  2. Collaborating regularly with other members of the Secretariat team and WONCA’s constituencies to ensure cohesive operations.
  3. Developing and maintaining relationships with suppliers and external stakeholders.
  4. Cleaning and maintaining the internal database and archives for various WONCA activities.
  5. Engaging in other duties as assigned by the Chief Executive Officer.

Requirements

  • Bachelor’s degree in finance, business administration, accounting, or related field.
  • A minimum of three years of experience in administrative and financial management.
  • Proficiency in financial software and Excel.
  • Experience in contract management and project management is advantageous.
  • Tech-savvy personality. At ease with digital technologies, with a hands on / problem solving approach.

Communication and Language Skills:

  • Excellent organizational, planning, and communication skills with the ability to coordinate information and processes involving multiple people/teams and different parallel workflows.
  • Fluent in English; French or Dutch desirable for administrative inquiries.

Benefits

This is a full-time position (38 hours per week), offered under the Belgian law. We are seeking candidates preferably based in Brussels, as the role involves a blend of in-office collaboration and the option for remote work. We value face-to-face interaction to strengthen our team dynamics and also support work-life balance through flexible home office days.

WONCA offers an initial 12-month contract, with the view to extend to a permanent contract beyond that. We offer a monthly gross salary of between 3,000 and 3,400 depending on the level of experience, in addition to a 13th stipend, holiday bonus, lunch vouchers (8 per working day), private health insurance, and 20 days of paid annual leave.
