Job Description

The European Endowment for Democracy is looking for a Financial Administrative Assistant to support its flexible democracy support work.

Main functions of the post:

  • Providing administrative and analytical support to the Finance and Operations team;
  • Providing financial administration including making payments and contributing to effective operational and financial procedures; carrying out compliance checks, including audit preparation.

  • Duties and Responsibilities:

    The selected candidate will work under the guidance of the relevant Chief Operations Officer and reports to the Director of Operations, and shall be responsible for (in addition to the above-mentioned):

  • encoding bank payments through the on-line banking system
  • allocating costs to relevant budget lines
  • supporting monthly reconciliations
  • developing budget execution reports;
  • supporting the Finance and Operations team in audit preparation and implementation;
  • contributing to improving procedures and processes in the Finance and Operations Team;
  • ensuring archiving of the accounting documents and all related contractual documentation
  • preparing drafts of monthly financial updates for review of EED Directors.
  • contribution to drafting Financial Reports for donor funds
  • performing other tasks for the Finance and Operations Team and the Director of Operations as required.
  • Requirements

    a. Conditions for eligibility:

    o preferably be a national or having permanent residence permit of one of the EU/EEA countries or Switzerland;

    o be entitled to his/her full rights as a citizen;

    o have completed any obligations imposed on him/her by the laws concerning military service;

    o be physically fit to perform his/her duties.

    b. Essential selection criteria

    Level and type of formal education:

    o degree in Accountancy, Financial Management or Business Administration required.

    Professional experience:

    o at least 18 months of proven full-time professional experience in finance and/or audit issues.

    o experience in working with democracy-support donors would be an advantage.

    o experience in working in a multi-cultural non-profit sector would be an advantage

    o Experience with European Commission Financial Regulation, or other similar donor legislation.

    Functional competencies:

    o full professional working knowledge of English

    o French and/or Dutch language working knowledge would be an asset;

    o solid ICT skills, especially in Microsoft Excel;

    o pro-active approach

    o high drive for detail and precision;

    o ability to keep full confidentiality about all assigned tasks and related documentation as well as capacity to exercise confidentiality, discretion and tact when dealing with diverse groups of people;

    o high degree of communication skills and excellent interpersonal skills;

    o ability to develop strong working relationships internally and externally at all levels;

    o high personal and professional culture;

    o ability to work in a multicultural environment;

    Benefits

    EED is not an international organisation or an EU institution, and its employment contracts are fully based on Belgian Employment Law.

    Indicative GROSS salary is around 3,700 per month with standard benefits foreseen under Belgian labour law (meal vouchers, 13th month salary etc.). An initial contract of two years will be offered, followed by renewal subject to satisfactory performance and available funds.

    Expected start day at EED: Mid-February 2023

    Working place: EED Secretariat located in the centre of Brussels, Belgium.
